Privacy Notice – Personal Data Processing

(Art. 13 Regulation (EU) 2016/679 – GDPR)

This notice explains how personal data is processed when users, through the E-zine platform, create, manage and publish events.

1. Data Controller

The Data Controller is Menexa Srl, based in Italy. Any request relating to personal data processing may be submitted using the contact details published on the E-zine website.

2. Categories of personal data processed

The following data may be processed in connection with event creation and management:

  • Identification data: name, surname, business or organization name
  • Contact details: email address, phone number, website and social media links
  • Event-related data: titles, descriptions, dates, locations, images, multimedia materials
  • Platform usage data: technical logs, IP addresses, authentication data
  • Personal data voluntarily included by the user in published content

The Controller does not request or intentionally process special categories of data (Art. 9 GDPR), unless voluntarily provided by the user.

3. Purposes of processing

  • to enable user registration and access to the platform
  • to allow creation, editing and publication of events
  • to ensure online dissemination of events via E-zine
  • to provide technical support and service communications
  • to comply with legal obligations
  • to protect the Controller’s rights against misuse of the platform

4. Legal basis

  • performance of a service requested by the user (Art. 6(1)(b) GDPR)
  • compliance with a legal obligation (Art. 6(1)(c) GDPR)
  • legitimate interest in managing and securing the platform (Art. 6(1)(f) GDPR)

Providing data is necessary to publish events; failure to do so will prevent use of the service.

5. Processing methods

Data is processed using electronic tools in compliance with the principles of lawfulness, fairness, transparency and data minimisation, and protected through appropriate security measures.

6. Publication of content

Users acknowledge that content submitted for event publication will be publicly visible online. Users warrant they have the right to publish submitted materials and hold the Controller harmless from third-party claims.

7. Data retention

Personal data is stored for the duration of the user account and, thereafter, limited to published content for historical archiving purposes, unless deletion is requested and legally permissible.

8. Data disclosure

  • technical and hosting service providers
  • authorised staff and collaborators
  • public authorities where required by law

Data is not sold or disclosed for marketing purposes.

9. Data subject rights

Users may exercise their rights under Articles 15–22 GDPR, including access, rectification, erasure, restriction, objection, data portability and the right to lodge a complaint with the competent supervisory authority.

10. User responsibility

Users are solely responsible for the data and content they submit, including any third-party personal data.
